- Administer the daily operations of the facility.
- Prepare and administer recommendations for the Board of Trustees in areas of public relations, finance, personnel, policy, rules, regulations, maintenance, operational, legal ordinances, levies, and all legalities relevant to maintaining the organization.
- Prepare a written report of activities, finances and statistics relevant to the operation of the organization to present monthly to the Board, and attends Board meetings.
- Delegate staff assignments, schedules and duties in order that adequate staff personnel are on duty at all times during facility’s hours with sufficient timing perform duties and maintain service in a reasonable and timely manner.
- Provide the community with volunteer opportunities to support the library/museum. Manage volunteers from students needing service hours for school organizations to long-time weekly reliable volunteers. Interview new adult volunteers to assess their skills and passions thus finding the perfect fit for WPLM and the volunteer.
- Provide excellent customer service to all patrons and train staff and volunteers to value each library/museum visitor.
- Select and purchase a variety of circulating materials according to the selection policy.
- Weed circulating collection according to policy.
- Create revolving museum displays and properly store other museum items not in use. Maintain records of all donations and current museum inventory.
- Attend workshops and continuing education programs that enhance performance and assist in promoting the organization as a community asset. Inform the Board of Trustees of workshops, seminars, meeting dates, locations and times in a timely manner.
- Promote services through community involvement and being active in community affairs.
- Know library and museum laws and support library and museum legislation.
- Present programs appropriate for all age levels.
- Inform the Board of Trustees of all available grants and complete all grant applications including the Per Capita Grant for the State Library.
- Prepare and submit the Annual Report (IPLAR) and any report required by the State Library.
- Perform all duties of circulation clerk, outreach coordinator and cataloger.
Requirements
- Bachelor’s Degree or equivalent work experience demonstrating skills applicable for position.
Experience:
- Three (3) years of library/museum work which would provide the required knowledge and skills for the position which should include leadership ability, customer service and an interest in community involvement.
Abilities/Skills:
- Initiative and vision in developing library and museum services and programs which would include current and emerging library/museum trends and practices.
- Understanding of common personnel management methods to lead and engage staff and volunteers.
- Highly effective communication and problem-solving skills.
- Ability to maintain effective working relationships with trustees, village officials, community organizations, vendors, staff, volunteers and patrons.
- Full working knowledge of library/museum daily activities, board of trustee monthly requirements and all federal, state and local annual requirements and restrictions.
